Bookings
​
- A non-refundable deposit £50 is required to secure your date and theme.

The remaining balance is due no later than 5 days before your event.

Bookings are confirmed only once the deposit is paid.
Customer Responsibilities

To ensure a smooth and enjoyable experience for everyone, we kindly ask all customers to take note of the following responsibilities when booking a Sleepoverzzz Club party:

Provide Accurate Information

Booking Details: Please provide accurate information regarding the party date, number of children, location, and any special requirements or requests (e.g., access requirements, etc.).

Age Group: Let us know the age range of the children attending the sleepover to ensure we provide suitable equipment and themes.
Prepare the Venue

Clean, Clear Setup Area: Ensure the space where we’ll be setting up is clear of any obstacles and clean. We’ll need enough room for tents, mattresses, and decor.

Space Requirements: Our setups usually require a minimum of 2–3 meters of space per tent. Please ensure the space is large enough to accommodate your booking.

Electricity Access: If you’ve requested lighting or other electric items, please ensure there is an accessible electrical outlet within reach.
Adult Supervision

Ongoing Supervision: An adult must supervise the children during the sleepover. While we provide all the necessary equipment for a fun, safe event, supervision is essential for the well-being of all children during the night.

Set-Up & Collection: Please ensure that an adult is present during the setup and collection of the equipment to facilitate a smooth process.
Care of Equipment

Respect the Equipment: All items (e.g., tents, mattresses, fairy lights) should be treated with care. We kindly ask that no food or drink is consumed inside the tents unless pre-arranged.

Damage Responsibility: You are responsible for any damage or loss of items during the hire period. Any damages or missing items will incur a replacement or cleaning fee.
Timely Communication

Respond Promptly: If we need to adjust times, equipment, or arrangements, we appreciate your prompt response to avoid any last-minute issues.

Inform Us of Any Changes: If you need to cancel or alter your booking, please notify us at least 7 days before the event date to ensure we can accommodate any changes.
Health & Safety

Allergy and Health Information: Please inform us of any allergies or health conditions that may affect the children’s safety during the sleepover (e.g., food allergies, medical needs).

Safe Environment: Ensure the sleepover environment is free from potential hazards (sharp objects, dangerous items, etc.) and that children are not exposed to any risky activities.
Respect the Collection Time

End Time: We ask that you ensure all children have left the sleepover area by the agreed collection time, so we can efficiently clear the space.

Room for Pickup: Please keep the collection area clear so that we can easily retrieve all items once the party is over.

High-Quality Equipment

Clean & Safe Equipment: All tents, mattresses, pillows, and decor are thoroughly cleaned and sanitised between each event to ensure a safe and hygienic experience for your children.

Quality Materials: We use high-quality, comfortable, and safe equipment to create a cozy and magical environment for your sleepover.
Professional Setup

On-Time Setup: We will arrive at the agreed-upon time for setup and ensure everything is ready to go before the children arrive. Our team will take care of all the details, from arranging tents to setting up fairy lights and themed decorations.

Discreet Takedown: Once the sleepover is over, we’ll return to collect everything. Our team will work quickly and discreetly to clear the space and leave your home as we found it.
Clear Communication

Booking Confirmation: After you book, you’ll receive a confirmation with all the necessary details (date, time, themes, and additional requests). We’ll stay in touch with you leading up to the event to ensure everything is on track.

Customer Support: Should you have any questions or concerns before, during, or after the event, we’ll be available via phone, email, or social media to provide prompt assistance.
Customised Experience

Personalised Themes: We work with you to ensure that the sleepover theme is tailored to your child’s preferences. Whether it’s fairy lights or superhero capes, we strive to make every sleepover a unique and unforgettable experience.

Special Requests: If you have any special requests, such as extra pillows, blankets, or a specific setup, just let us know! We’ll do our best to accommodate.
Health & Safety

Safe Party Environment: Our equipment is inspected regularly to ensure it meets safety standards. We also ensure that any electrical items (like fairy lights) are properly set up and used safely.

COVID-19 Precautions: We follow recommended health and safety guidelines to ensure that all equipment is sanitized and that the party environment is safe for your family.

Payments and Deposits.
To make the booking process smooth and straightforward, we’ve outlined our payment and deposit policies below. By confirming your booking with The Sleepoverzzz Club, you agree to these terms.
Deposit Requirements

Booking Deposit: A non-refundable deposit is required to secure your booking. The deposit amount varies depending on the package and size of the sleepover but typically ranges between £30 to £50.

Deposit Deadline: The deposit must be paid within 48 hours of receiving your booking confirmation to reserve your chosen date and theme.

How to Pay: Deposits can be paid via bank transfer, PayPal, or credit/debit card. Detailed payment instructions will be provided when confirming your booking.
Balance Payment

Remaining Balance: The remaining balance is due 7 days prior to the event date. This allows us time to confirm any final details and make sure your setup is fully prepared.

Accepted Payment Methods: We accept payment via bank transfer, PayPal, or cash (if agreed in advance).

Payment Confirmation: Once the full balance has been paid, we will send you a confirmation email, including the final details of your booking (setup time, theme, etc.).

Cancellation & Refund Policy

Cancellation by Customer:

More than 7 days before the event: You may cancel or reschedule your booking and will receive a partial refund (excluding the non-refundable deposit).

Less than 7 days before the event: Cancellations within this window are non-refundable. However, we will do our best to reschedule if possible.

Cancellation by The Sleepoverzzz Club:

In the unlikely event that we need to cancel your booking due to unforeseen circumstances, we will notify you as soon as possible. We will either offer you an alternative date or provide a full refund, including the deposit.

Additional Charges

Extra Guests: If additional guests are added after the booking has been confirmed, additional charges may apply based on the number of extra guests and equipment needed. This will be discussed with you in advance.

Damage Fees: In the event of any damage or loss to our equipment, we will assess the cost of repair or replacement and charge the responsible party accordingly.
Payment Confirmation

Final Confirmation: Once we have received your final payment, we will confirm all booking details (date, time, theme) and send you a reminder of the event details 2–3 days before the party.
How to Pay:

Bank Transfer: Bank details will be provided upon booking confirmation.

PayPal: Payable via the PayPal link sent at the time of booking.

Cancellations (by The Sleepoverzzz Club)

While we strive to ensure that every sleepover party goes ahead as planned, there may be circumstances beyond our control that could require us to cancel or reschedule a booking. In these rare cases, we promise to keep you informed and provide the best possible solution.
Reasons for Cancellation by The Sleepoverzzz Club
We may need to cancel or reschedule your sleepover party due to the following reasons:

Severe Weather Conditions: For outdoor setups, adverse weather conditions such as storms, heavy rain, or strong winds may make it unsafe to proceed with the event. In such cases, we will notify you as soon as possible and offer to reschedule or move the event indoors (if feasible).

Illness or Unforeseen Circumstances: In the event that key staff members become ill, experience an emergency, or are unable to fulfill the booking due to unforeseen circumstances (e.g., a vehicle breakdown, personal emergencies), we may need to cancel or reschedule.

Equipment Availability Issues: Although we maintain a high level of preparation and ensure all equipment is in good condition, in rare cases, damage or unforeseen circumstances may affect the availability of certain items. In such instances, we will inform you immediately and offer alternatives or reschedule your booking.

Legal or Regulatory Restrictions: If any unexpected restrictions (e.g., government regulations related to health and safety or public events) force us to cancel or alter the event, we will inform you as soon as possible.
What Happens If We Need to Cancel

Notice Period: We will make every effort to notify you as early as possible in the event of a cancellation. If the cancellation is due to circumstances beyond our control (e.g., weather or illness), we will aim to give you at least 24–48 hours' notice.

Full Refund: If we must cancel your party and no alternative date can be arranged, you will receive a full refund, including your deposit.

Rescheduling Option: Whenever possible, we will offer to reschedule the event for a mutually convenient time. If the event is rescheduled, your deposit will be transferred to the new date, and no additional charges will be applied unless you change the number of guests or requested equipment.

Alternative Solutions: If rescheduling isn’t an option, we will work closely with you to explore alternative solutions, such as offering a different theme or modifying the setup in a way that works for you.
Exceptional Circumstances

Force Majeure: In the event of unforeseen and unavoidable circumstances beyond our control (such as natural disasters, strikes, or other emergencies), we may be forced to cancel or delay your event. In these situations, we will do our best to find a suitable alternative or refund your deposit and payment.
Communication

Timely Updates: Should a cancellation or change in your booking be necessary, we will keep you informed through email, phone, or text messages, ensuring that you are updated every step of the way.

Customer Support: If you have any concerns or need more information, our customer support team will be available to answer your questions and help you with any rescheduling or refund requests.

While we do everything we can to avoid cancellations, we understand that these things are sometimes unavoidable. We appreciate your understanding and cooperation. In the rare event of a cancellation, we’ll work hard to make sure you and your guests are taken care of and that your sleepover dreams aren’t lost!
Equipment
We take great pride in providing beautiful, high-quality sleepover setups, and we’re sure your guests will love them just as much as we do! To ensure everything goes smoothly and the equipment remains in great condition, we ask that you and your guests follow these simple guidelines for looking after the Sleepoverzzz Club equipment during your event.
Treat the Equipment with Care

Respect the Setup: Our equipment is designed to create a magical and comfortable atmosphere, and we kindly ask that it’s treated with respect. Please ensure that children do not jump on the mattresses or tents, as this can cause damage.

No Food or Drink in the Tents: We recommend keeping food and drink out of the tents unless otherwise agreed. Spills and crumbs can damage fabrics and are difficult to clean. If you'd like a snack station, we’ll happily arrange one for you in a separate area.
Keep the Area Clean and Tidy

No Rough Play: Please avoid any rough play or activities that could cause the tents or decor to be damaged. Encourage children to enjoy the sleepover experience in a calm and relaxed atmosphere.

Clean Hands: We encourage guests to wash their hands before entering the tents to minimize dirt and stains on the bedding and equipment.

Use of Equipment: Only the items provided by The Sleepoverzzz Club should be used inside the tents (e.g., bedding, pillows, and themed decor). Please do not introduce other items, such as external toys or equipment, without confirming with us first.
Protecting the Equipment

Shoes Off Inside the Tents: Please make sure that shoes are removed before entering the tents to keep the bedding and mattresses clean. We recommend placing shoes in a designated area outside the tents.

No Pets Inside: While we love animals, we ask that pets be kept away from the sleepover area to avoid damage or allergens.
In Case of Spills or Accidents

Immediate Action: If there is any spill or accident (e.g., food, drink, or an unexpected stain), please contact us immediately. We’ll provide instructions on how to manage it, and we will arrange for any necessary cleaning.

Damage or Loss: If any damage to the equipment occurs (e.g., torn fabrics, broken decor), please inform us as soon as possible. We will assess the situation and discuss any replacement or repair fees if necessary.
Supervision of Children

Adult Supervision: Children must be supervised by an adult at all times during the sleepover. While we provide the equipment and atmosphere for a magical experience, it’s important that parents or responsible adults oversee activities to ensure safety and proper care of the equipment.
End of the Party: Help Us Pack Up

Tidying Up: At the end of the event, we’ll arrange for a quick, easy, and stress-free takedown. We kindly ask that all guests leave the tents and equipment tidy, with bedding folded up neatly and personal items removed.

Check for Missing Items: Please ensure that no personal items (such as toys or clothing) are left behind before we pack up the equipment. We’ll always do a final check, but it helps if you make sure everything is accounted for.

Delivery and Installation,

​Prices for delivery 10 miles out of area are not included and will be quoted at the time of booking.

At The Sleepoverzzz Club, we handle all aspects of delivering and installing your sleepover setup. To ensure everything goes smoothly and according to plan, please read through the following terms and conditions regarding our delivery and installation process.
Delivery and Setup Timing

Scheduled Setup Time: The agreed setup time will be confirmed in writing upon booking. We will make every effort to arrive 2–3 hours before the start of the sleepover to ensure ample time for installation. This allows us to set up the tents, decor, and any additional equipment in time for the event.

Access Requirements: You must ensure that the area where the sleepover setup will take place is clear and accessible at the time of delivery. This includes moving any furniture or obstacles that could hinder the setup process. The setup area should have adequate space to accommodate the equipment, typically 2–3 meters per tent.
Equipment Setup

What We Provide: Our team will deliver and set up all necessary equipment, including but not limited to:

Tents or teepees

Mattresses, pillows, bedding (including sheets, blankets, and throws)

Themed decor, fairy lights, and ambience lighting

Accessories such as cushions, gift bags (optional), and any add-ons you’ve selected.

Special Requests: Any special requests, such as specific themes or extra decor, will be honored as per prior agreement. Additional charges may apply for add-ons or changes requested after booking.
Supervision and Safety

Adult Supervision: An adult must be present to supervise the children throughout the event to ensure safety and proper use of the equipment. The Sleepoverzzz Club is not responsible for the supervision of guests during the party.

Care of Equipment: The customer agrees to ensure that all guests are made aware of the rules for caring for the equipment, including keeping food and drink out of the tents and refraining from rough play.
Changes to Setup Time

Late or Early Setup Requests: If you need to change the setup time after booking, please inform us at least 48 hours in advance. We will do our best to accommodate your request, but it may incur additional fees depending on availability.

Delays in Setup: If there is a delay in access to the setup area, it may affect our ability to complete the setup on time. We will notify you of any delays and work to minimize inconvenience. Any delays caused by the customer (e.g., insufficient access, unprepared space) may result in a setup delay, and additional charges may apply.
Delivery and Setup Fees

Standard Setup Fee: The setup fee is included in the price of the package unless otherwise specified. This includes delivery, setup, and takedown within the local area of operation.

Travel Charges: For areas outside our standard service zone, an additional travel fee may apply. Customers will be informed of any applicable travel charges at the time of booking.
Collection & Takedown

Takedown Time: Our team will return to collect all the equipment after the event. The agreed collection time will be confirmed in advance. Typically, this will occur the next morning after the sleepover, or as per your chosen schedule.

Customer Responsibilities: Before we arrive to collect the equipment, we kindly ask that all personal items are removed from the tents and the space is tidied up as much as possible. Our team will ensure everything is properly packed and removed.
Access to the Property

Access for Delivery and Collection: The customer must ensure that we have clear access to the setup area for both delivery and collection of the equipment. If we cannot access the area due to locked gates, obstructions, or other issues, we may not be able to complete the setup or collection, and additional charges may apply.
Damage or Loss During Setup

Equipment Care: We take great care to ensure that all equipment is installed correctly and safely. However, The Sleepoverzzz Club will not be held responsible for damage to personal property or surroundings that may occur during setup (e.g., furniture, walls, or floors).

Customer Liability: The customer is responsible for ensuring that all items are returned in the same condition as they were delivered. If any damage occurs to our equipment during the event, the customer will be liable for the cost of repair or replacement.​
By accessing or using the Service you agree to be bound by these Terms. If you disagree with any part of the terms then you may not access the Service.

Intellectual Property
The Service and its original content, features and functionality are and will remain the exclusive property of The Sleepoverzzz Club and its licensors.

Governing Law
These Terms shall be governed and construed in accordance with the laws of United Kingdom without regard to its conflict of law provisions.
Our failure to enforce any right or provision of these Terms will not be considered a waiver of those rights. If any provision of these Terms is held to be invalid or unenforceable by a court, the remaining provisions of these Terms will remain in effect. These Terms constitute the entire agreement between us regarding our Service, and supersede and replace any prior agreements we might have between us regarding the Service.
Changes
We reserve the right, at our sole discretion, to modify or replace these Terms at any time. If a revision is material we will try to provide at least 30 days notice prior to any new terms taking effect. What constitutes a material change will be determined at our sole discretion.
